Student Data Assistant [Temporary Cover] (Secondment)

Student Data Assistant

The role holder supports the function of the Student Data and Records office within the Institute to provide essential services such as University cards, certificates and transcripts; maintaining the student's record in the University's student database and monitoring data quality and reporting on all aspects of student data for both matriculated and non-matriculated students across the Institute and wider University. The role involves a high volume of data entry requiring a high level of accuracy and attention to detail.

The role holder ensures that student data is correctly maintained, providing accurate and timely statistical reporting of student data for internal and external purposes (e.g. HEFCE, HESA, HE-BCI).

Key responsibilities

You will work as part of the Student Data & Records team to:

  • Ensure all courses and modules are set up on the student database (CamSIS), and students are enrolled on relevant units.
  • Record grades against enrolments and identifies those approved for awards.
  • Assist with the production of certificates and transcripts for students on ICE award-bearing courses.
  • Assist with regular quality checks on student data and identifies and investigates data anomalies, rectifying where possible. Provides support to the Business Information & Strategic Insights team to ensure compliance with statutory student record obligations. - Contact students where statutory information is missing, performs records maintenance.
  • Assist in the processing of University cards in collaboration with the University Card Office.
  • Monitor and respond to staff and student queries in mailboxes and CRM system. Support student enrolment on to the ICE VLE.
  • Assist in the production of various reports and maintenance of data, for example, Annual Report and HE-BCI, HESA and HESES returns, CLA entries, provides reporting service to ICE colleagues, departments, degree committees and colleges as needed.
  • Any other duties and responsibilities appropriate to level of role.

Your Skills and Experience

You will be educated to A level standard / NVQ level 3 or equivalent with experience of providing a responsive and timely administrative service in a records related role, ideally within the HE sector. You will have excellent IT skills, including proficiency in Word, Excel and databases, and an ability to input data quickly and accurately.

In addition to the base salary stated, the successful candidate for this post will receive an additional 2.5% supplement to their pay.
