PPM Coordinator x2 (Internal Applicants only)


The Role:

To provide end to end support and administration for planned and reactive maintenance, statutory compliance and projects activities, including planning and scheduling of activities, administration of work orders, variable works, and projects quotations, commercial management of specialist sub-contractors and suppliers, processing of maintenance documentation, plus any other similar duties required by the maintenance provider.

To ensure all maintenance activities are completed in a timely manner in full accordance with the contract specifications and key performance indicators, working alongside the helpdesk team to track the completion and close-out of work orders.

To ensure that all supporting evidence for completed maintenance and compliance activities is collated and stored correctly in accordance with contractor and University policies.

To provide timely management information, analysis and reports.

The role will require a high degree of liaison with maintenance provider, Estates Division and University-wide stakeholders as well as third party contractors and consultants in order to ensure that services and projects are delivered in the most beneficial and cost-effective manner.

The position requires office-based attendance 3 days a week.

In order to succeed in this role, you will join us with the following skills and experience:

Essential Experience:

  • Experience in an administrative role preferably related to compliance in maintenance assets and payables and ordering processes

Essential Skills

  • Strong organisational skills as well as the ability to prioritise and manage a varied workload.
  • Able to work systematically on a number of tasks simultaneously with effective problem resolution skills.
  • Excellent IT skills in a wide range of applications
  • Excellent communication & customer relationship management skills.
  • Excellent team worker.
  • Ability to analyse data and prepare concise analytics and reports.

Essential Qualifications:

  • Qualified to A Level or equivalent standard
  • GCSE Maths & English or equivalent

Other Essential requirements:

  • Willingness to take on other duties to cover staff absences or excess workloads.
  • Able to handle confidential information in a suitable and sensitive manner.
