Undergraduate Student Administrator


Applications are invited for the role of Undergraduate Student Administrator to work on the administration of the undergraduate teaching programme in Paediatrics & Child Health, assisting the Deputy Head of Department / Specialty Attachment Director for Paediatrics. The post holder will assist in all aspects of the organisation and delivery of undergraduate student teaching in clinical paediatrics throughout the Clinical School deanery in the East of England.

In addition to communications with the Department of Paediatrics academic lecturers, you will be liaising with Consultant Paediatricians, tutors and administrators both at Addenbrooke's and at the Regional centres and the Clinical School of Medicine. This involves co-ordinating the teaching of Year 4 and Year 5 clinical students, incoming elective students and assisting with the clinical exams (MB Finals) in Paediatrics. The post holder will also be involved in the coordination and organisation of teaching sessions including - webinars, booking of teaching rooms, lecturer schedules and help organise other teaching related meetings / conferences.

The successful candidate will be educated to A-level standard, with word processing or secretarial qualification of at least RSA II level or equivalent. Significant experience in student administration /secretarial roles at an appropriate level is essential, as are excellent IT and organisational skills, including familiarity with using MS Office suite, word processing, spreadsheet and database applications. The role holder will be responsible for maintaining and updating the course information on the 'virtual learning environment' (VLE), as well as set up and provide administrative assistance with webinar lectures using the Adobe Connect platform.

Flexibility and good time management are essential, and an ability to prioritise a diverse and changing workload as teaching sessions (lectures / webinars / seminars) may occasionally start early or go on past 17.00. You will also be required to be a point of contact for student queries and have the ability to deal sensitively and discreetly with confidential issues.

Other ad hoc duties may include the occasional need to deputise for the P.A. to the HOD in his/her absence, general Office duties e.g. post, answering queries, receiving deliveries as and when required. The Deputy Head of Department / Specialty Attachment Director for Paediatrics or the Operations Manager may also from time to time require the jobholder to perform other duties appropriate to the post.
