The University Information Services (UIS), which consists of over 260 members of staff, provides the staff and student community of the University of Cambridge, its Colleges and associated institutions with a comprehensive and constantly changing range of information technology related services. RIS is one of the seven divisions, consisting of around 30 staff, working in high performance computing and relationship management across the collegiate University.
We are currently looking to recruit an outstanding Personal Assistant to provide a comprehensive secretarial/ PA service to the Deputy Director of Research & Institutional Services, to ensure the efficient and effective management of the individual's time and work. In addition, to provide similar support for five section heads within Research & Institutional This will include managing and prioritising the work of the Deputy Director, carrying out research, drafting/preparation of detailed briefing notes, coordinating meetings and making (often international) travel arrangements for the Deputy Director and colleagues. Travel arrangements and diary entries are subject to frequent change, often with little notice, so it's important that the role holder has plenty of initiative. They may also be called upon to cover PA duties for other members of the senior leadership team.
You will be educated to HND/HNC or level 4/5 vocational qualifications, or the equivalent level of practical experience. Proven experience of operating in a fast paced environment, and assisting and supporting at a senior level are essential, and knowledge of the University and its procedures would be advantageous. You will have excellent secretarial skills including accuracy, good telephone manner, excellent diary management and comprehensive IT skills, in particular MS Office and databases. You will have the ability to learn new skills quickly and to manage a demanding workload, often working under pressure. You will have excellent communication skills, and the ability to communicate with people at all levels. The ability to react to changing demands, dealing with confidential information and sensitive issues, is essential.
